Creating User Accounts - Staff and Faculty
Problem Description :
To set up new user accounts
Resolution :
To Create New Staff User Accounts.......
STAFF - BANNER INB GENERAL INFO
HR will enter all Staff in Banner INB and notify the Supervisor to fill out the New Employee Computer Access Form
No access is given until the form is received from the Supervisor
Log into Banner and go to Goatpad - enter PIN and save. Create GOATPAD record
In SPAIDEN check to see if the ST address exists
Go to SPAIDEN and go to email tab - enter email address and save
NETWORK
Log into the VMware - Choose MBX1 Server and log in.
Go to DOS prompt c:\batch
Type in mustaff Choose S for Staff and answer the rest of the questions.
Enter the last 6 of the GCID
Enter EMPLID:
Once this is complete - go to Active Directory and find the username.
Go to Member Of Tab and add to any groups or departments that need to be added. (those associated with that Job Role or Department)
Wait 30 minutes for the user to sync in Office 365.
Login to Office 365 as global admin and then unders Users --> Active Users select ''No License with mailbox". You should see the user(s) you just created.
Click on the user(s) and assign the Product license ''Office 365 A1 Plus for faculty" (Choose location of 'US'). All options should be set to 'On'.
After the license is assigned, the mailbox will be created for the user in 10 to 15 minutes.
If they are Banner users be sure to place them in the Banner group.
BANNER INB
Send in a ticket to ITS Service NOw and request a Banner account for the new user. Include Full Name and Username as well as the phone number. If they need the same oracle access as someone else let ITS know.
Once you have the account- Log into Bansecr and either copy someone in the department that will have the same permissions or add classes necessary.
Everyone should be in the GDN_MAIN role
Go to the Banner Rules section and add the GCID#
go to the alter tab and check the Authorize BANPROXY and Authorize BANJSPROXY boxes
If this person is supposed to be masked from SSN go to GOAFBPR and add the userid to the SSN_MASKING Business Profie (Everyone except Registrar's Office, Admissions, and Financial Aid)
They will also need to be in the Banner group in active directory.
Business Office Staff - Create PeopleSoft Financials Account - Core Users - Username is always UPPERCASE. Give roles as needed for Job Duties
Also B.O. staff may need access to the Guarantor Manager web application at https://www.gdn.edu/gcwa/grnt-manager/. To give access just add NTFS permissions to the folder at \\osprey\wwwroot\gcwa named grnt-manager. Just right-click folder > properties > Security tab > add user name. (Housing Staff may need access to Guarantor Viewer web application at https://www.gdn.edu/gcwa/grnt-viewer/. Just add NTFS permissions to grnt-viewer folder at same location above).
Business Office Staff may also need Toucnet accounts.
If they are going to be a cashier - Someone in the BO needs to set them up in Banner in the TGAUPRF Form.
Alumni and Institutional Advancement - Create Raiser's Edge Account..
Human Resources - create ADP account
EPro - if they will be a shopper, buyer or approver. A Seperate ePro form has to be completed. Use Travel and Expense account information if they are not a CORE PS user.
Public Safety Officers: Go to OnGuard - System Admin - ID Card - Access Levels and check ALL DOORS for PS Officers.
Send username, email address, and passwords to the Supervisor
BOSSCARS for Public Safety
Public Safety - create Bosscars account - also give Public Safety Access in BannerWeb - Web Tailor - Log into Banner Web - Choose Web Tailor Admin - then update user roles - be sure to check on the role of Public Safety
For Public Safety - Bosscars
log into bosscars as bosssec and bosssec
got to programs
then choose BossCars Security
Maintain User/Class Security
type in username and then full name
ctrl pagedown
then choose role from the drop down
officers = user
Admin = Bosscars Super User
For the person who creates the officers in Bosscars.
Admissions and Registrar if needed add to ZOAGARP
Adding security so someone can run Zoagarp.
Login as Bansscr
1. Add the user to the GDN_ZOAGARP group in the Banner Security
Login as self
2. Got to the form GUAIDEN and Add the user on this form form
3. Go to the form ZOAGARS in BANNER GUI and add this user to this form
ACADEMIC AIDES - Go to Banner Web to Web Tailor Administration and add Petition Administrator .
Granting Access in TOAD
For users who will be running letters go to toad and do the following:
GRANT SELECT ANY TABLE TO username – lets you run a SQL “select” query using any table or view name
GRANT EXECUTE ANY PROCEDURE TO username; lets you execute functions, package functions, etc. So, if you do “select student.name(…)” you would need this for the student.name to execute
GRANT CREATE SESSION TO username; I think this is basically permission to log in to database
GRANT UPDATE ON GENERAL.GURMAIL TO username; Allows SQLs to do “update gurmail” scripts
GRANT INSERT, UPDATE ON GENERAL.GURMAIL TO username Allows SQLs to do both “insert gurmail” and “update gurmail” scripts.
BDMS Xtender Security - as requested by supervisor

Go to vboss11487 and then choose bdms@gdn.edu
Choose the BDMS server
choose launch server
send ctrl+alt+delete
log in to that server
Go to START - APP Generator
username: sysop
password: XSCM
go to users and see if they already exist.
If the do, click the + and choose groups and add to the necessary groups and apply
If the do not already exists you will need to go to import users and import them in before you can add groups.
They must have a BannerINB account first.
Guarantor Manager
Go to falcon = d$ inetpub - appsroot - go to properties on grnt-manager and security and add user.
Business office has grnt_manager - others has grnt_viewer.
Event Managment:
----- No longer have to do this. All STAFF are added For an employee: Add the employee's pidm to the wscswid table. In TOAD do a select rowid, wscswid.* from wscswid - run - then click + sign and add.-------
For a student worker: Add the 929 number to http://www.gordonstate.edu/gcwa/SAManager/
ADDING USERS TO PRINTERS
Adding to Printers - HS Solution 310
Open up a browser window and type in the appropriate IP address.
Login or type in 1 - enter
Click on Address and the Address book 01
Register New Address
Enter Full Name and Full email address.
If it asks for department ID and Password enter 7654321 for both
Expression Engine - Login and give proper channel access (gordinadmin - eeboss26)
login to admin.php page

FACULTY
Academic Affairs will enter all Faculty in Banner INB and give CSD the GCID #
Log into Banner and go to Goatpad - enter PIN and save. Create GOATPAD record
In Banner INB check email address on emal tab in SPAIDEN
Log into the VMWare MBX1 - Choose MBX1 Server and log in.
Go to DOS prompt c:\batch
Type in mustaff Choose S for Faculty and answer the rest of the questions.
Once this is complete - go to Active Directory and find the username. - check the members of tab to be sure they are in the correct Division.
All list serves and folders will be added by the groups they are in.
Send username, password, and Banner INB PIN# to Academic Affairs
