Problem Description :
How to create a new employee and how to terminate one
Resolution :
********Account Creation**********
1. Get the new employee hire form from the supervisor/HR to get their 929# and Employee Number and to see if they have a preferred name.
2. Pull up Banner and go to Spaiden
3. Go to email and create a CAMP and set the email to their first name and last initial for staff or first initial and last name for faculty @gordonstate.edu and check Preferred + Display on Web. (If a preferred name was listed use that for the initial/first name for staff)
4. Go to GOATPAD.
5. Set the pin to 678359, check accepted, and set the expiration date to today's date (You can use T to automatically set it). Go to the third party ID and set it to the first initial and last name for faculty or first name and last initial for staff.(If you get an error when saving that means someone already has a third party ID that matches so set number at the end and resave and go back to spaiden and change the email to match the new one.
6. Open MBX1 on VCenter and open a CMD line and go to cd c:\batch and then type "mustaff"
7. Enter if they're a F for faculty or S for staff.
8. Put in their username that matches their GOATPAD third party ID, First Name(preferred if listed), Last Name, 929#, Employee Number and set the password to today's date i.e. Feb082020! (they will have to change it when they login on first login).
9. If it's a faculty you'll need to put in their division like BSS or NURS. It'll be listed on the form. It will automatically add them to the faculty list serv but you'll need to add them to any PT faculty groups and list servs if the form indicates they're PT.
10. Staff will need to be added to their indicated department AD groups and any other list servs they need.
11. Faculty need to be added manually to the Faculty Team O365 group for both full and part time.
*********Account Termination*********
1. Get the employee termination form from the employee supervisor/HR.
2. Verify if someone needs access to their H: Drive\PC Documents\Email (Skip to step 4 if no)
3. If someone needs the employee H: Drive, copy it onto their local desktop. Same goes for documents on the employee local computer. If someone needs access to their email either reset the account and give it to them to get in, or mail forward and set an auto reply on the email box on Office365 by going to Admin->users->click on user and changing the mail forward and auto reply. Disable the AD account and remove all the groups but give them the o365other group so they keep an email license.
4. Disable AD account, reset password, remove AD groups and move to Disabled Accounts.
5. Go to Banner 9 and go to SPAIDEN and disable their ST address by inactivating it and set an end date. Go to the email tab and uncheck preferred and display on web. Go to GOATPAD and reset the PIN to 678359, expire it and uncheck accepted.
6. The Banner Security admin needs to open GSASECR and go to the user and remove any forms/classes they have including GDN Main and also disable Ban Proxy, and expire/lock the account.
7. The peoplesoft admin needs to go to peopletools, security, user profiles, distributed user profiles and check account locked out, go to ID and set ID Type to none, remove the Primary BU 76000 from the Genral Permissions List under the General tab, remove any ruser roles they have (I normally screen cap the roles so anyone who comes in to replace them can get those copied back)
8. The Degreeworks Admin needs to remove them from Degreeworks if they had access.
9. Touchnet admin needs to delete their account and roles if they have any. PayPath requires a Touchnet ticket.
10. Crystal/Argos is simply going into the respective system and deleting their account.
11. Remove faculty from Faculty Team o365 group.
