GO TO SHACOMI

1. In Committee/Service Type field choose the Club Name

2. In Associated ID field enter the GCID# of the Advisor for this club � � � SAVE

1. Date initiated: � Enter the Date the Club was initiated

2. Status – This should be AC for Active unless you are inactivating the club. � 

 � � Be sure that the dissolved check box and Date Dissolved are null unless you are dissolving this club.

These First Two Blocks only have to be done once per club until you 1. Dissolve a Club, or 2. � The Club changes Advisors. � You then dissolve the club and set up a new one under the new faculty advisor.

Setting Up Committee/Service Information

This processing allows you to set up committee or service information which is affiliated

with a person (such as a dissertation committee) or that is stand alone, with no person

affiliation (such as a long-range planning committee). Committee member information

may be tracked. Various query options exist for committee information. In addition,

committee information may be printed on a student's transcript at your request.

Note

The Banner Human Resources System makes use of the service aspect

of the committee forms. An example of a committee/service type they

might use could be a community recycling project. 􀂄

The primary form in this component is the Committee/Service Form (SHACOMI). The

key to this form is Committee/Service Type field and optionally, the Associated ID field.

A committee type may be set up without an ID, but an ID may not be set up without a

committee type. The Committee/Service Type field is validated against the Committee/

Service Type Validation Form (STVCOMT) and may include such values as dissertation

committee, academic appeals committee, thesis review committee, long range planning

committee, or curriculum review committee. The Transcript Print Switch may be

checked for each committee type created on STVCOMT that you want to print on student

transcripts. You may view all existing committees on the Committee/Service Inquiry

Form (SHICOMQ) by selecting the Committee/Service Inquiry item from the Options

Menu, selecting List Existing Comm/Serv (SHICOMQ) from the Option List for the

Committee/Service Type field, or by performing a Count Query Hits function from the

Key Information of SHACOMI. The Associated ID field is dependent upon an

identification record only; therefore, committees may be affiliated with persons outside of

the general student population. The Committee/Service Form consists of two windows:

the Committee/Service Information window (or main window) and the Committee/

Service Comment window.

The Committee/Service Information window allows you to record general information

about the committee, to record information about an unlimited number of committee

members. The Committee/Service Comments window allows you to record an unlimited

number of free format text comments related to the committee.

If the committee is affiliated with a valid student ID on the Committee/Service Form

(SHACOMI), it may be set up as a non-course (or part of a non-course) and applied to a

degree for a student on the Academic Non-Course Form (SHANCRS). Use the Non-

Course Information item in the Options Menu to display the Academic Non-Course Form

(SHANCRS). This allows you to record the committee as a non-course (or part of a noncourse).

You may also give the committee a degree audit non-course requirement code

(NCRC) and apply it to a degree for the student.

Committee information may be queried in a variety of ways through the use of three standalone

query forms: the Committee/Service Inquiry Form (SHICOMQ), the Committee/

Service By Person Inquiry Form (SHICMID), and the Committee/Service Member

Inquiry Form (SHICMBQ).

• The Committee/Service Inquiry Form (SHICOMQ) allows you to search for

existing committees based upon the committee type, person ID or name affiliated

with the committee, home college, home department, committee status, date

initiated, and dissolved date. Committee member information for all of the

committees found in a given query displays on the form in the Committee/Service

Members section. As you scroll through the committees displayed after a search is

executed, member data changes to correspond with the selected committee. If you

perform a Next Block function to the Committee Members section, a greater than

sign (>) is placed next to the committee to which the members belong.

• The Committee/Service By Person Inquiry Form (SHICMID) allows you to search

for existing committees by the ID of the person or student affiliated with the

committee. The form displays information about the committee in the Committee/

Service Identification Data section and about the committee members in the

Committee/Service Member Data section for the committees retrieved during a

given search. As you scroll through the committees displayed after a search is

executed, member data changes to correspond with the selected committee. If you

perform a Next Block function to the Committee/Service Member Data section, a

greater than sign (>) is placed next to the committee to which the members belong.

• The Committee/Service Member Inquiry Form (SHICMBQ) allows you to search

for committee members based upon the member ID, member name, role, member

status, member college, member department, participation from and to dates, and

committee type.

Use the Event Form (SLAEVNT) to create and schedule meetings for the committee(s) on

SHACOMI. Select the Schedule Meetings item from the Options Menu to access

SLAEVNT. The one-up event number is automatically generated. The Event Description

appears with the name of the committee. The Committee or Service Indicator is

populated (checked) by the system, because this event was established through the

SHACOMI. This data cannot be updated.

Once on SLAEVNT, use the Schedule item in the Options Menu or a Next Block function

from the Event Information to access the Meeting Times window to set up the start and

end dates, day of the week, beginning and ending times, building, and room for the

committee meeting. Use the Committee/Service Information item in the Options Menu to

return to SHACOMI.
