Creating Holidays and Special Access for Dorms in Stanley System
Problem Description :
For holidays and periods of closure during the semester, Residence Life will give CSD dates/times to lock down and open up dorm access through the Stanley Access System. Residence Life may also give GCIDs (929 numbers) of students that will need continued access. Examples might be international students with no place to go to, sports teams, etc.
Resolution :
*** Removing all Special Access setup from previous holiday:
1 - In Lenel System Admin, Go to Cardholder - Then the Access Level Tab
-- Do a search for all Cardholders having one of the "Special ..." access levels. Go to Search Type and choose has at least one of. Choose first special access hit shift and choose last- choose all
-- Do a Cardholder->Bulk->Remove Access Levels to remove all "Special ..." access levels.
2 - In TOAD, execute script "CSD Sqls\Stanley Access Control Scripts\special_access_remove.sql" to delete previous HOLDs used to generate Special Access.
When you get the list of people that will need access
*** Creating HOLDs for generating Special Access
1 - Create list of formatted GCIDs to use with the IN statement in SQL
-- In text editor, paste all of the GCIDs provided by Residence Life
-- Make sure the are formatted as 929xxxxxx without any "-" and that there is only 1 GCID per line
-- Using Search/Replace, manual editing, etc. format so there is a ' in front of GCID and ', after GCID
2 - Execute "CSD Sqls\Stanley Access Control Scripts\special_access_build.sql" to add HOLDs to student records
-- Near bottom of script, paste the formatted GCIDs from above between the {} for the "and vp.id in " line in where clause
-- Execute the script using day prior to start of holiday for FROM_DATE and day after holiday for TO_DATE parameters format as dd-MON-yyyy.
-- Commit changes
3 - Execute "CSD Sqls\Stanley Access Control Scripts\special_access_list.sql" to get a listing of students the hold was added for. Only students in dorms using the Stanley Access System will get created. This list should be sent to Residence Life.
The "Special ..." access levels should get loaded into Stanley system on the first run after the FROM_DATE entered above.
*** Creating Holidays for timezones and adjusting for start/stop if not midnight.
* Explaination of Holidays and Timezones
The Stanley Access System is setup to create Holidays and then assign whether or not these Holidays impact the different Timezones.
- A Holiday is created to begin at 12:01am on a specific date and last until midnight a set number of days later. A Holiday can not be setup to begin or end at any other time..
- Holidays are coded to be a specific "Type" from 1 to 8
- If a Timezone has a "checkmark" for a Holiday Type (H1 - H8 on Timezones tab), that Timezone is "active" 24 hours per day for that Holiday.
- If the Timezone does not have a "checkmark" for a Holiday Type, that Timezone is "inactive" 24 hours per day for that Holiday.
- Active means access will be granted to Readers for Cardholders that have Access Levels for that Timezone. Inactive means access will be denied.
- To accomadate starting/ending a Holiday period at anytime besides midnight, that day of the week is left out of the Holiday and an entry is made directly to the Timezone.
- The Student Residents timezone is used for all Residence Hall Access Levels.
- The Village Green Bistro timezone is used for access to Bistro by non-Village residents
-RA's have seperate timezones- check to see if the holiday H1 is checked
*** Creating addition Holidays to unlock exterior doors during break
Use these steps if exterior doors that normally unlock based on a Timezone ( Stanley System Admin--> Acess Controls--> Timezones--> Timezone/Reader Modes ) need to be unlocked specific times during the holiday. The additional Holidays are used as exceptions to when the H1 Holiday is in affect.
- Create additional Holidays for days the doors need to be unlocked. Code as H2, H3, etc since H1 is the entire break. *NOTE* If the range of days include a Saturday or Sunday the doors will unlock these days.
- Modify the Timezone to ensure H1 is unchecked and H2,H3 etc is checked as needed.
* Example, if access is to be "turned off" on Sat, March 12 at 12:01am (just after midnight Friday) and "turned on" on Sun, March 20 at 1:00pm. Commons B exterior door should auto unlock on Monday March 14 - Tuesday March 15. The Holiday and Timezones are set as follows:
- Holiday of Type 1 is setup to begin on 3/12 with a duration of 8 days (ends on 3/19)
- Holiday of Type 2 is set up to begin on 3/14 with the duration of 2 days (end on 3/15)
- There should be NO checkmark under H1 for any time intervals on the Student Residents, Student Residents Exterior Doors and Village Green Bistro timezones
- An entry for interval of 13:00 to 23:59 for Sun is made to the Student Residents, Student Residents Exterior Doors and Village Green Bistro timezones
- The checkmark for Sun is removed for the existing intervals
- There should be a checkmark under H1 for all intervals on the Special Student Residents timezone
- The H2 should be checked under 8-5 Doors 2 Timezone. H1 should be unchecked.
** For Summer session Housing wants the dorms to be locked at all times and only allow access to the students living in the dorm. Under the timezones tab check 8-5 Doors 1 and 8-5 Doors 2 and uncheck all days that are checked, (Mon-Firday) When they want to unlock the doors again you will need to go back into the timezone and check mon - friday again. Also uncheck all days mom- fri for the Willage WOW until they are ready to open again. (added 6/18/13)
