Xerox Copier Email Setup

Problem Description : 

Set up a Xerox Copier to send email via Office 365

 

 

 Resolution : 

 

Microsoft recommends using SMTP client submission by authenticating to an Office 365 (mail-enabled) cloud account whenever possible for email relays. The device must also support TLS/StartTLS to use this option.

 

1.Make sure IP address for copier is added to the ‘SMTP_relay’ outbound policy on Firewall before you move on to Step #2.

2.Open browser and to go IP address of copier to open Centreware (http://168.26.XXX.XXX/)

3.From main menu, click Properties and login as admin user.

4.Under Properties submenu, navigate to Connectivity --> Setup. Find ‘SMTP (Email)’ under Protocol and click ‘Edit…’

5.Under Required Information tab, enter the following and click ‘Apply’ to save:

 

Host Name: smtp.office365.com

Port: 587

Device Email Address: relay01@gordonstate.edu

6.Under SMTP Authentication tab, enter the following and click ‘Apply’ to save:

User Jobs

Choose ‘System’

Login Name: relay01@gordonstate.edu

Enter password for Exchange Online account twice and check ‘Select to save new password’

System Jobs

       Choose ‘System’

7.Under Connection Encryption tab, choose ‘STARTTLS’ option click ‘Apply’ to save.

8.Reboot Xerox Copier and test an email scan from the copier.

 

NOTE: The ‘Test Configuration’ tab will not work. The test will time out and says ‘no system resources’.
